When a potential client fills out a contact form on your website, every minute counts. Research consistently reveals that businesses responding to inbound inquiries within 5 minutes are 9 times more likely to convert leads into paying customers compared to those who wait even an hour.
Yet, in most small businesses and freelancing setups, incoming inquiries sit unattended in an inbox for hours—or require tedious, manual copy-pasting into spreadsheets and CRM databases.
Proprietary automation platforms like Zapier or Make will gladly solve this problem for you, but at a steep cost: connecting a form webhook to Google Sheets and triggering an email notification costs 2 to 3 task executions per submission. At scale, you quickly face monthly SaaS subscription bills of $30 to $100+.
| Feature | Zapier / Make | Self-Hosted n8n Pipeline |
|---|---|---|
| Monthly Cost | $29.99 – $99+/month | $0.00 (100% Free Forever) |
| Execution Limits | Strict task quotas | UNLIMITED Executions |
| Response Speed | 1 to 15 min polling intervals | Instant Real-Time Webhooks |
| Data Privacy | Stored on 3rd-party servers | 100% Private on Your Server |
In this tutorial, you will learn how to build your own “Silent Secretary” automation robot using n8n. In just three simple, visual nodes, this workflow will:
- Capture inbound lead information using n8n’s native Form Trigger (no complex website code required).
- Automatically append every lead into a centralized Google Sheets CRM database.
- Instantly dispatch personalized notification and confirmation emails via Gmail.
Prerequisites & Architecture Overview
Before building the workflow, make sure you have the following ready:
- An Active n8n Instance: If you don’t have n8n running yet, follow my master guide on How to Self-Host n8n for Free Forever with Docker & VPS.
- A Google Account: Used to connect Google Sheets and Gmail via secure OAuth2 credentials.
- A Target Google Sheet: A spreadsheet with labeled column headers to store your incoming leads.
Step 1: Setting Up the n8n Form Trigger Node
One of n8n’s most powerful native features is the n8n Form Trigger. Unlike traditional webhooks that require you to build custom frontend code, the Form Trigger generates a clean, responsive hosted web form URL out of the box.
- Open your n8n canvas and click Add first step (+).
- Search for n8n Form Trigger and select it.
- Set the Form Title to
Client Inquiry & Discovery Form. - Add your form fields:
- Full Name (Text, Required)
- Email Address (Email, Required)
- Phone Number (Text, Optional)
- Service Needed (Dropdown: Custom Automation, Web Development, AI Consulting)
- Project Message (Textarea, Required)
- Copy the Test URL, submit a test entry in your browser, and confirm the incoming JSON payload appears in n8n.
Step 2: Logging Inbound Leads into Google Sheets
Create a new spreadsheet in Google Drive titled Inbound Leads CRM with the following header row:
Timestamp | Full Name | Email | Phone | Service | Message | Status
Configuring the Google Sheets Node in n8n:
- Connect a Google Sheets node to the output of your Form Trigger.
- Authenticate with your Google account using Google Sheets OAuth2 API.
- Set Operation to Append Row.
- Select your
Inbound Leads CRMspreadsheet andSheet1. - Map your columns using n8n expressions:
- Timestamp:
{{ $now.format('YYYY-MM-DD HH:mm:ss') }} - Full Name:
{{ $json.Full_Name }} - Email:
{{ $json.Email_Address }} - Phone:
{{ $json.Phone_Number }} - Service:
{{ $json.Service_Needed }} - Message:
{{ $json.Project_Message }} - Status:
New Lead
- Timestamp:
- Click Test Step and watch the row populate live in Google Sheets!
Step 3: Triggering Instant Gmail Notifications
Speed to lead is everything. We will now configure Gmail to send instant alerts:
- Connect a Gmail node to the output of your Google Sheets node.
- Authenticate using Gmail OAuth2 credentials.
- Set Operation to Send.
- To: Enter your admin notification email address.
- Subject:
New Lead: {{ $('n8n Form Trigger').item.json.Full_Name }} - {{ $('n8n Form Trigger').item.json.Service_Needed }} - Body Type: Set to
HTMLand include lead details so you can immediately respond from your phone.
Pro Tip: Auto-Reply to the Client
Add a second branch to send a personalized confirmation email to{{ $('n8n Form Trigger').item.json.Email_Address }}thanking them for reaching out and confirming when your team will respond.
Step 4: Connecting Existing Website Forms (WordPress, Elementor, HTML)
If you already have a contact form on your WordPress site (e.g., Elementor Pro Forms, Contact Form 7, or Gravity Forms), you don’t need to rebuild it:
- Replace the Form Trigger with a standard Webhook node set to
POST. - In your WordPress form settings, select Actions After Submit → Webhook.
- Paste your n8n Production Webhook URL. All submissions will stream directly into your Google Sheets and Gmail pipeline!

Frequently Asked Questions (FAQ)
Does Google charge for using the Google Sheets or Gmail API?
No. Standard personal and Google Workspace accounts include thousands of free daily API calls, which easily covers standard business lead volume.
What happens if my self-hosted n8n server goes offline?
If the server is down, webhooks cannot be received. That is why I recommend running n8n on an affordable 24/7 cloud VPS (like Hostinger or DigitalOcean) rather than a local laptop that goes to sleep.
Summary & Next Steps
By connecting an n8n Form Trigger, Google Sheets, and Gmail, you eliminate manual data entry and respond to prospects within seconds—saving hundreds of dollars each year in SaaS subscription fees.
